By booking a session, attending an event, or using our facilities or website, you agree to these Terms & Conditions.
1. About Virtual Pro Golf
Virtual Pro Golf Limited operates an indoor golf simulator facility in Rosyth, Fife, Scotland, powered by TrackMan technology. We provide simulator hire, golf coaching, retail merchandise, events, and private hire.

2. Bookings & Payments
All bookings must be paid in full at the time of reservation.
Payments may be made online, by phone, or in person.
Late arrivals may result in reduced session time without refund or compensation.
Cancellation and rescheduling terms are outlined in Section 3.

3. Cancellations & Rescheduling
​
3.1 Cancellations
24+ hours before booking: Full credit will be issued to your bank.
Within 24 hours: No refund. A one-time discretionary reschedule may be offered, subject to availability.

3.2 Rescheduling
Requests must be made at least 12 hours before the booking start time.
Late requests are not guaranteed.

3.3 No-Shows
No refunds are provided for missed sessions.
​
3.4 Facility or Technical Faults
If a session is disrupted due to equipment malfunction, system failure, or power loss, guests may choose:
A rescheduled session.

4. Facility Conduct & Safety
Guests must follow all safety instructions, signage, and staff direction.
Misuse of equipment or disruptive behaviour may result in removal without refund or credit.
Guests are responsible for any damage caused by themselves or another member of their party.

5. Simulator Use​
Only clean, indoor-appropriate footwear is permitted.
No spiked, muddy, or outdoor-soiled shoes.
Personal clubs and balls are permitted but must be clean and unmarked.
Marked balls or dirty equipment that cause damage may incur repair charges.
No food or drink is permitted on hitting mats or near simulator computers.

6. Refreshments
No outside refreshments are permitted on the premises.
Under 16s are not permitted on-site without adult supervision.
Virtual Pro Golf Limited reserves the right to refuse service or remove guests displaying disruptive behavior.
Spillages or damage caused may result in cleaning or repair charges.

7. Risk & Liability
Use of the facility is entirely at your own risk.
Virtual Pro Golf Limited accepts no liability for injury, loss, or damage unless caused by proven negligence.
Guests are advised to carry appropriate personal accident insurance.

8. Coaching Services
Coaching sessions are booked separately from simulator hire (in person or phone call to make a booking).
Cancellations must be made at least 24 hours in advance to avoid forfeiting the session.
Coaching availability is subject to change.

9. Events & Private Hire
Events may require a deposit or full payment in advance.
Cancellations within 72 hours of the event may not be eligible for refund or credit.

10. Merchandise Returns & Exchanges

10.1 Eligibility
Returns accepted within 30 days of purchase.
Items must be unused, in original packaging, and accompanied by proof of purchase.

10.2 Exclusions
No returns for:
Custom or personalised items
Gift cards
Used products (unless faulty)

10.3 Faulty Items
Faulty items will be exchanged or refunded in full, including postage where applicable. Refunds are processed within 7–10 business days.
11. Privacy & Data Protection
Personal data is collected solely for service delivery and stored securely. We do not sell or share customer data with third parties. Please refer to our Privacy Policy for full details.

12. Website Use
Website content is for personal use only. Reproduction or distribution without written permission is prohibited.

13. Intellectual Property
All branding, logos, designs, and content are the property of Virtual Pro Golf Limited. Written permission is required for any use.

14. CCTV Monitoring
CCTV operates for safety and security. By entering the premises, you consent to being recorded. Footage may be used for investigations or shared with authorities when required.

15. Accessibility
We aim to accommodate all guests. Please contact us in advance to discuss accessibility requirements.

16. Age Policy
Under 16s may use the facility with adult supervision.
​
17. Lost Property
Lost items are held for 14 days. Unclaimed items may be donated or disposed of after this period.

18. Force Majeure
Virtual Pro Golf Limited is not liable for disruption caused by events beyond our control, including power outages, government restrictions, natural disasters, or public health emergencies. Credit or rescheduling may be offered where appropriate.

19. Governing Law
These Terms & Conditions are governed by the laws of Scotland.

20. Acceptance
By booking, attending, or subscribing to any Virtual Pro Golf service, you confirm acceptance of these Terms & Conditions.
